Why Overnight Automation Matters

Most agency management AI operates reactively. You ask a question, you get an answer. You give a command, it executes. That is useful, but it misses an enormous opportunity: the 14 hours between when your team leaves and when they return.

During those hours, emails arrive from carriers with policy change confirmations. Renewal deadlines tick closer. Compliance filing windows narrow. Claims adjusters send updates. Carrier appointment statuses change. Commission statements post. None of this waits for business hours.

ARIA Overnight runs a configurable set of automated workflows on a schedule you define. Here is what it handles out of the box, with every action logged and available for morning review.

Renewal Pipeline Processing

Every night, ARIA scans your renewal pipeline and takes action on policies approaching their renewal date:

  • 90-day window: Generates renewal preparation checklists for policies entering the 90-day renewal window. Pulls current policy details, loss history, and coverage summaries into a structured renewal file.
  • 60-day window: Checks whether renewal marketing has been initiated. For accounts that have not been touched, ARIA drafts renewal outreach emails for producer review and flags them as priority items in the morning briefing.
  • 30-day window: Escalates any renewals that do not have a quoted option on file. Identifies accounts where the incumbent carrier has not yet provided renewal terms and drafts follow-up messages to underwriters.
  • 7-day window: Final escalation. Any renewal within 7 days that is not yet bound gets flagged as critical with a red status in the morning briefing and an optional SMS alert to the assigned producer.

The result: no renewal falls through the cracks, even during your busiest months. One agency running the beta reported that their missed renewal rate dropped from 3.2% to 0.4% in the first 60 days.

Compliance Deadline Scanning

ARIA's compliance engine runs a nightly sweep of every regulatory deadline relevant to your book of business:

  • Surplus lines filings: Identifies policies requiring state filings and calculates days remaining until the filing deadline. Pre-populates filing forms with policy data and tax calculations.
  • License renewals: Tracks producer and agency license expiration dates across all states where you operate. Sends renewal reminders at 90, 60, and 30 days.
  • Continuing education: Monitors CE credit requirements by state and flags producers who are behind on their requirements before renewal deadlines.
  • Carrier appointments: Checks appointment status with each carrier and alerts you if any appointments are at risk of termination due to production minimums.

Every night, ARIA recalculates client risk scores based on the latest available data. These scores help your team prioritize retention efforts and identify cross-sell opportunities:

  • Retention risk: Factors include claim frequency trends, premium increases, payment history, engagement with renewal communications, and market competitiveness of current pricing
  • Growth opportunity: Identifies coverage gaps, life events (business acquisitions, property purchases, fleet expansions), and product lines where the client is not yet covered
  • Claims trajectory: Analyzes loss development patterns and flags accounts where the loss ratio is trending toward a threshold that may trigger carrier non-renewal

Commission Reconciliation

When carrier commission statements are received electronically, ARIA processes them overnight:

  • Matches each commission payment to the corresponding policy in your book
  • Flags discrepancies where the paid commission rate differs from the expected rate
  • Identifies missing commissions, meaning policies that should have generated a commission payment but did not appear on the statement
  • Calculates producer splits and updates compensation records

The Morning Briefing

Everything ARIA does overnight is synthesized into a structured morning briefing delivered to each team member's PrizMova dashboard and, optionally, their email inbox. The briefing is personalized by role:

  • Producers see their renewal pipeline status, high-priority accounts requiring attention, new cross-sell opportunities identified overnight, and commission updates
  • CSRs and Account Managers see incoming service requests triaged by priority, policy change confirmations received from carriers, and tasks assigned from overnight processing
  • Agency Principals see a financial dashboard summary, compliance status across the agency, renewal pipeline health metrics, and any critical alerts requiring immediate attention

How It Works: Architecture and Safety

ARIA Overnight is built on a cron-based scheduling system that runs within your PrizMova tenant. Here is how we designed it to be both powerful and safe.

Configurable Schedules

You control when ARIA runs and what it does. The default schedule executes the full workflow suite at 2:00 AM in your agency's local time zone, but you can customize:

  • Which workflow modules are enabled (renewals, compliance, risk scores, commissions, inbox triage)
  • What time the overnight run begins
  • Which days of the week ARIA runs (most agencies run it seven days a week, but you can exclude weekends)
  • Escalation thresholds (e.g., only flag renewals as critical when they are within 5 days instead of 7)

Human-in-the-Loop Morning Review

This is a critical design principle: ARIA Overnight never takes irreversible action without human approval. Everything ARIA does overnight falls into one of two categories:

  1. Autonomous actions: Read-only operations like querying data, calculating scores, generating reports, and preparing documents. These execute automatically and appear in the morning briefing as completed items.
  2. Pending actions: Any operation that would send a communication to a client, carrier, or third party, or that would modify a policy record, is queued as a pending action. These appear in the morning briefing with an "Approve" or "Reject" button. Nothing goes out until a human reviews it.

This means ARIA can draft 30 renewal outreach emails overnight, but not a single one is sent until a producer or account manager reviews and approves each one. The drafts are ready, the data is populated, and the send is one click away — but the human always has the final say.

Audit Trail

Every action ARIA takes overnight is logged in a detailed audit trail that includes:

  • The specific workflow that triggered the action
  • The data sources queried
  • The decision logic applied
  • The resulting action taken or queued
  • Timestamp and duration

This audit trail is accessible from the ARIA dashboard and can be exported for compliance documentation.

Real Scenario: A Typical Overnight Run

Here is what ARIA Overnight actually did for one of our beta agencies on a Tuesday night in February:

  1. 10:02 PM: Run initiated. 1,247 active policies scanned.
  2. 10:04 PM: 23 renewals entering 90-day window identified. Renewal preparation files generated for each.
  3. 10:08 PM: 8 renewals in the 30-day window found without quoted options. Follow-up emails drafted to 5 carrier underwriters. Flagged for producer review.

When the team arrived at 8:00 AM, every person had a personalized briefing with their priorities clearly laid out. The three urgent carrier notices were at the top of the relevant account managers' queues. The commission discrepancies were ready for the bookkeeper to review. The renewal follow-ups were drafted and waiting for one-click approval.

Total time for the team to review and act on the overnight results: approximately 35 minutes across the entire agency. Estimated time this work would have taken manually: 4 to 5 hours.
